“There’s already a standard connection between Qargo and Easi – so you gain a lot of time back from not having to develop the integration yourself, which you can then invest in actually implementing the system.” — Dylan Vanaudenaerde, Product Owner: TMS/Business Analyst, Tailormade Logistics
About Tailormade Logistics
Tailormade Logistics is a family-owned international transport and logistics company founded in Ghent 30 years ago. Today the business runs around 600 drivers across offices in Belgium, France, The Netherlands, with daily intermodal departures to Italy and France.
The company has grown quickly through acquisitions, and that history shapes how it operates. It serves some of the most specialised niches in transport: daily deliveries to fashion stores before the shops even open, supermarket distribution, automotive runs, and a dedicated flooring division with specially equipped trucks for home delivery of carpets and tiles. From cars and carpets, to fashion and food, Tailormade Logistics handles a wide range of goods – and they needed a TMS that could handle this complexity.
“We have very specific types of business, and that has an impact on the type of TMS you need. It has to be very flexible and possible to customise without support”, says Dylan Vanaudenaerde.
About Easi & Adfinity
Easi is a company specialised in IT services and solutions. It stands out in particular for developing its own business software solutions designed to meet the needs of mid-sized and large organisations. Beyond delivering IT solutions, Easi positions itself as a high-value strategic partner, fostering long-term relationships with its clients. Its approach is built on proximity, trust and operational excellence. Today, Easi employs around 700 people. The company places strong emphasis on employee well-being, convinced that client satisfaction starts with the fulfillment and engagement of those who support them every day.
Adfinity is an ERP solution developed by Easi, specialising in accounting and financial business processes. The software automates processes such as invoice processing, general accounting, cash flow management, multi-company operations, and approval workflows. Through real-time reporting, Adfinity enables companies to make strategic decisions based on reliable data, resulting in fewer human errors and increased productivity.
How they found Qargo
Tailormade’s search for a new TMS started with a CEO-led review three years ago: emails to a wide field of providers, followed by presentations at their headquarters in front of planners, finance and management. Qargo made the shortlist during the first round – but Tailormade opted for another provider.
After nearly a year of running a pilot programme with the other provider, it became clear that there were some gaps in the system. Fortunately, Tailormade didn’t need to start the search from scratch but reached out to the front runners from the last review.
The team could instantly see how much Qargo had grown and improved the system in the year since they had last spoken.
“That was a very good indication that this company would be at the top of the TMS market within the next five years.” – Dylan
The two companies were also aligned in their vision to modernise and automate processes. This combined with the fact that Qargo had a native integration with Adfinity made choosing Qargo an easy yes the second time around.
The challenge
Tailormade’s set up is unusually complex, with niche workflows that most TMS couldn’t flex around. The biggest gap with their previous system was visibility and traceability: following a shipment from start to finish meant multiple screens, calls and emails, for Tailormade’s team and for their customers.
“That was something we were missing – being able to see, in one place, that your goods have gone through the whole network and where they’ll be. Pictures, documents, invoices, questions answered, all at a central point.” – Dylan
Cost visibility was the other gap: tracing profitability from customer to order to trip to driver, to see where the business was gaining or losing money.
Qargo and Adfinity’s integration
Tailormade had been using Adfinity (Easi) for accounting for four years and were delighted to hear they had a native integration with Qargo. Tailormade’s setup connected Adfinity to Qargo for outgoing sales invoices – all invoice data is generated in Qargo, then sent to Adfinity. Because Qargo has a standard integration with Adfinity, Tailormade didn’t need its own developers involved at all, saving them expensive internal development time.
“That standard integration was one of the factors that helped us decide on Qargo. The initial build took no more than a day or two, including testing – with very fast replies from your team.” – Dylan
Tailormade recently consolidated VAT numbers following a group restructuring, and merged two of its largest entities – requiring the Adfinity mapping to be redone, fields added, and cost locations changed across two live tenants. A real test for the integration. However, the whole process ran incredibly smoothly. Qargo carried out most of the work over the weekend against a detailed plan covering “happy flow, unhappy flow, things we need to test.” Testing wrapped up the following Monday morning without issue.
Onboarding
Due to the scope and complexity of Tailormade’s company structure, the go-live has been phased office by office over roughly a year, starting with the automotive team in Westerlo. An intermodal branch serving Italy followed in October, once the summer lull passed.
The phased roll out is still ongoing: a 40-truck planning team in Wallonia is expected to go live within weeks, followed by offices in Bulgaria and Lyon by October. The biggest remaining piece is the flooring division, still running on an in-house-built legacy system – a project expected to reach completion by mid-2027.
Tailormade also asked Qargo to build an integration with Transporeon for order creation and tracking during that first go-live, to meet a tight timeline – which was achieved and handled with support from an onboarding manager on Qargo’s side.
The solution
Order entry. Qargo’s AI reads incoming emails and PDFs and, after five or six orders from a given customer, recognises the pattern well enough to pre-fill 70–90% of the order. Manual order entry is still the industry norm with Dylan estimating that over 70% of orders across the sector are still created by hand, even among major shippers, so the time saved compounds.
“Order entry is one of the most time-consuming parts of customer service. This gives people more time to update customers, check orders are correct, and actually understand why a customer’s order volume is dropping.”
Customer visibility. Tailormade rolled out customer portals at the end of June, and 60–70 customers are already using them. The previous portal ran on paid subscriptions with limited seats which made it hard to manage as customer relationships changed. “With the way Qargo works, every order you see in the portal gets closed at the end of its cycle. You can follow it much better.” That alone has cut the volume of status-check emails reaching customer service.
Documentation. Photos and delivery documents captured on the driver app and subcontractor portal now land in the customer portal automatically. For fashion deliveries made before stores open, with no one present to sign for goods, that proof matters.
Invoicing. Under the old system, invoicing ran on a weekly cycle split across a dedicated invoicing team and a separate accounting team before anything reached Adfinity. In Qargo, the same team now produces and sends invoices daily: orders delivered one day are ready for invoicing the next, generated, sent to Adfinity, and confirmed back before going to the customer. For one of their high-volume accounts who run trucks around the clock — invoice processing dropped from around an hour to about 15 minutes, helped by Qargo’s AI matching customer pre-billing files line by line against orders.
The results
✅ Daily invoicing instead of weekly — no more handoff delay between invoicing and accounting teams
✅ Real-time driver visibility, via a standard Transics integration, that the previous TMS couldn’t offer at all
✅ Fewer status-check emails to customer service, thanks to a portal where every order properly closes out
✅ Zero in-house development needed for the standard Qargo–Easi (Adfinity) integration, live within 1–2 days
✅ A VAT-number merger across two live tenants remapped through Qargo and Adfinity smoothly over a single weekend
What’s next?
On the Easi side, the plan is to extend Adfinity into Tailormade’s French entities, which currently run on a different accounting system, and to bring the purchase side of invoicing – currently checked manually against subcontractor invoices – into the same automated flow Tailormade already has for sales.
“We’d like transport-related invoices to come directly into Qargo, get linked to the order, get confirmed, and that sends a message back to Adfinity automatically.” – Dylan
Final thoughts
Asked how he’d describe the Qargo–Easi partnership to another operator, Dylan told us:
If you’re already using Easi and Adfinity, the standard integration Qargo offers adds real value — and it keeps adding value, because when either system changes, they’ve already solved how to keep the connection working before you even have to ask. That’s significant, especially when you think about how much time and cost it takes when a customer changes their ERP and you have to redesign the integration from scratch.”
